This is a very senior-level position, requiring 5 years of corporate records management experience; 5 years of experience in a corporate environment where you worked with repetitive litigation and SEC issues; experience with corporate IT re: records policies and strategies; experience and knowledge of ERM software, email archiving, knowledge of legal holds; working with SOX. Matter Management – Legal
We are seeking a matter management consultant for our global consulting client. We need someone with senior level experience with 5 plus years working with legal departments to analyze the business needs of the legal department and formulate goals, strategies and plans; to work with client to develop technology strategy and architecture and in the creation of process diagrams, technology diagrams, project road maps and other reports to describe technology strategy; to assist clients in in all phases of the selection of its software packages for matter management, electronic billing, corporate secretary, etc.; to manage the implementation of those packages. Information and Records Manager- NEW
Description: The Information and Records Manager is responsible for the development and oversight of all components of the firm's enterprise content management program. The program will direct the proper record-keeping, organization, handling, storage, retrieval, and proper destruction of business records for the firm in adherence to the Records Retention policies. The candidate will direct and support the implementation of the program to the firm's business units and oversee compliance. The Information and Records Manager will work closely with firm senior management and business units, particularly the Legal, Compliance, and Information Technology, regarding records management requirements, resources, policy and procedure.
Scope: Position reports to the Firm's Compliance and Risk Management Committee (Chief Financial Officer, Chief Operating Officer, Chief Administrative Office, Chief Compliance) Officer and General Council). Works closely with Legal, IT and HR functions. Oversees staff of Records Analysts and matrix manages Records Custodians supporting each business unit.
Duties and Responsibilities
· Enforce Compliance. Provide management oversight of all Firm information with responsibility for compliance monitoring and reporting
- Enforce compliance in accordance with the firm's Records Retention Policy &
Procedures though measurable criteria and standards
Interact and liaise with business units - Private Equity, Lending, Real Estate, Trading,
Treasury, Investor Relations, Operations, Legal, HR, Tax, Accounting and IT on a
daily basis to promote and enforce compliance
- Deliver oral and written reports to senior management, documenting all areas of noncompliance and developing a corrective action plan to ensure full compliance
· Promote Capture of all Firm Information
Work with IT to provide all firm personnel with enabling tools for the capture of
physical and electronic records. Determine, promote and enforce common classification and naming convention system Facilitate scanning of physical records and filing of authoritative originals. Develop usage policies and procedures in support of the firm's Records Retention Policy.
Evaluate new ideas and systems for potential compliance and regulatory impact.
- Prepare educational memos and provide training sessions for personnel on current
and new firm policies and regulatory rules
· Administer Secured Access to all Firm Information
Administer new project/deal intake process
Draft, implement, and update procedures for new project/deal intake
Administer and monitor adds, moves & changes to security settings
· Direct Audit & Search Activities
Undertake pro active and reactionary compliance reviews
- Produce information responsive to requests of Chief Compliance Officer and
Compliance Council.
Produce information responsive to audits, subpoenas, litigation, regulatory inquiries
and routine information requests.
Tracks issues and remediation
· Manage Disposition
Establish and enforce regular process for electronic and physical records disposition;
including return to client transfer, off-site file transfer and destruction
Administer litigation holds
· Administer Records Department
Manage and direct staff in daily activities
Monitor and evaluate staff performance
Prepare and administer annual budgets that support the records management program
Manage vendor relationships and agreements
Qualifications
Senior IT, Legal or Compliance professional with significant experience in document/records management related legal and regulatory matters, such as electronic information management and recordkeeping, information security and e-discovery. Demonstrated experience in senior level position(s) with authority to handle sensitive and secured information. Successful track record of successfully leading large, multi-disciplined electronic records management projects and teams in a professional services setting.
Certification as a Certified Records Manager (CRM), or achieved an equivalent combination of education, training and experience.
